1. General Policies
    • Badges must be warn at all times on the show floor and/or while attending the event.
    • People are not allowed to line up until 30 minutes before a Panel or Main Event. Early lining up may result in a dispersal.
  2. Badge Policies
    • To pick up your badge, government or school issued ID is required for identity verification.
      • Youth need a parent or guardian in person to pick up their badge but do not need a chaperone.
      • Youth also need ID at check in. Youth may use a school ID in lieu of government issued ID.
      • Children need a parent or guardian in person to pick up their badge who must be present at all times. Said parent/guardian must have a paid badge.

      • Children do not need ID at check in.
    • All tickets sales are final and are non-refundable upon purchase.
    • Tickets may be upgraded; contact Contact@pacificnerdwintercon.com to upgrade your pass.
    • You may register for more than one person, but each person must be present to verify their identity and pick up their own ticket.
  3. Dress code, Cosplay, and Weapon & Prop Policy
    • 100% cheek coverage, 100% groin coverage, 100% nipple coverage, and 50% breast coverage is required no matter the gender.
    • Footwear must have a sole of some sort and bare feet are not allowed.
    • COSPLAY IS NOT CONSENT.
    • No sharpened metal, able to be fired, or photorealistic gun weapons/props are allowed AT ALL. All other weapons/props must be peace bonded at check in.
  4. Photography
    • Recording during Panels and Main Events is prohibited unless disclosed otherwise.
    • Photography is allowed in non-high traffic areas.
    • DO NOT, and we cannot stress this enough, PHOTOGRAPH CHILDREN WITHOUT CONSENT OF THEIR GUARDIAN.
    • Consent is REQUIRED when taking pictures of other people.
  5. Concerning Vendors and artists
    • All vendors are required to be 18+ by the day of selling at the con.
    • Artists are required to be at their table for the entire duration of the con. Proxies are not allowed.
    • ‘AI Art’ is NOT art and will not be tolerated. Not as sellable items, signage, or the like. If it is found that you are using generative AI at your table/booth, you will be removed and banned immediately.
    • Artist Alley tables come with ONE (1) 8 foot table; Vendor Den Booths come with TWO (2) 8 foot tables.
    • There are XxX Artist Alley tables and XxX Vendor Den booths.
    • Fanart is allowed, but PNWC WILL act on any copyright infringement take down requests if they are provided.
    • Edible food and any sort of weaponry is not allowed to be sold.
    • Table sharing is not allowed unless applicants are approved together.
    • Applications are juried.
  6. Accessibility
    • If you are someone in your care requires accessibility accommodations, please reach out via Contact@pacificnerdwintercon.com. Those in need of accommodations will be given a special badge ribbon that allows priority seating.
    • Pets are not allowed at PNWC, this includes emotional and anxiety support animals. However, trained service animals are. Know your rights! If someone has reason to believe that your pet is not a trained service animal, such as unruly behavior they may ONLY ask these two questions—
      • (1) Is the dog a service animal required because of a disability? and
      • (2) What work or task has the dog been trained to perform?
      • Staff are not allowed to request any documentation for the dog, require that the dog demonstrate its task, or inquire about the nature of the person’s disability. {As copied directly from ADA.gov}
  7. Harassment
    • Harassment is defined as repeated and unwanted talking, touching, locating, communicating, and/or heckling. Any disrespectful, disgruntled, hateful, or otherwise largely inappropriate and/or disruptive behavior is ALSO subject to this code.
      • Mild violations may result in a talking to, explanation of the violation and/or rules, or removal from an event though not the convention as a whole.
      • Major violations will result in being removed, banned, and possibly be subject to law enforcement depending on severity.
  8. Alcohol, drugs, and related
    • Alcohol and any other drugs are not allowed at the Wingspan Event and Conference Center.
    • Cigarette smoking is to be done in designated areas.
    • Any drug use will result in immediate expulsion from the convention.
  9. Lost & Found
    • Lost and found should be returned to the check in desk. Any remaining items at the end of the day will be discarded.
  10. Reporting violations
    • If you either see or hear any violations of these policies, please find either a volunteer, staff, or a security member and let them no immediately.
  11. In the instance of a violation
    • In line with the Harassment repercussions—
      • Mild violations may result in a talking to, explanation of the violation and/or rules, or removal from an event though not the convention as a whole.
      • Major violations will result in being removed, banned, and possibly be subject to law enforcement depending on severity
